Migrating email and files to Microsoft 365 with governance from day one

A staged migration with ownership, access and recovery built into the launch requirements.

Starting point

What brings the project forward

A company is moving from hosted email, local file shares and ad hoc cloud storage. Information responsibility is inconsistent and several external collaborators use shared credentials or broad links.

Constraints

  • Move without disrupting customer communication
  • Avoid carrying unmanaged access into the new tenant
  • Create usable collaboration structures
  • Retire legacy services safely
  • Give users a clear support path during each wave

A workable delivery sequence

  1. 01

    Discovery and ownership

Inventory domains, identities, mail flow, data, permissions, delegates, devices, applications and business owners.

  2. 02

    Destination design

Approve identity, Teams and SharePoint structures, guest access, naming, lifecycle, retention, recovery and support.

  3. 03

    Pilot

Move a mix of users and difficult data, then reconcile counts, permissions, mail, devices and daily work.

  4. 04

    Wave and close

Migrate in controlled waves, support users, validate each group and retire legacy access after acceptance.

  5. 05

    Stabilise ownership

Resolve migration exceptions, transfer runbooks and administration, and review demand before closing the project.

Destination

Identity, mail, files and collaboration operate in a governed Microsoft 365 tenant with named owners, appropriate access, protected administration, tested migration reconciliation and a documented recovery and support model.

Business decisions

  • What data is cleaned, archived or migrated
  • Who owns sites and groups
  • External sharing model
  • Coexistence, rollback and decommission thresholds

Tests before go-live

  • Mail flow and identity work for pilot and production users
  • Sampled data and permissions reconcile
  • Governance owners can operate lifecycle tasks
  • Legacy access is closed only after approved validation

Handover material

  • Migration and governance design
  • Pilot and reconciliation record
  • Wave runbook
  • Administrator and user handover
